Work Hours/Shift: Full Time / Day
You Will Be Responsible For:
Provides lead responsibilities in the daily operations of Tumor Boards (Host Site or Non-Host Site), Tumor Board Videoconferencing (Pathology and Radiology), training of current and new employees, and other special events as appropriate. Liaisons with AHCI satellites in the respective area. Liaisons with MIS for Tumor Boards. Provides input on Tumor Board Coordinators’ evaluations to Office Manager. Provides oversight with updating/maintaining detailed Tumor Board Job Duty notebooks.
Responsible for comprehensive statistics/reports, equipment issues (Tumor Board / Videoconferencing / Office), and develops, maintains and updates data base.
Coordinates various tumor boards as assigned annually with the department medical and administrative leadership. Establishes schedule for each Tumor Board meeting and assists with room arrangements and coordination with satellite locations. Aligns with site-specific Care Coordinator to assure cases for each Tumor Board at least one week prior to scheduled meeting. Ensures moderators and presenters are notified. Acquires presentations and creates handouts for audience (electronic/hard copies), sending electronic version to satellites, as appropriate.
Assimilates patient’s case presentations with presenting physicians, Radiologists, Pathologists, and other allied health care professionals, including clinical trial coordinator and social worker, etc. as appropriate. Develops and provides schedules, appropriate signage, and correspondence to physicians, various campuses, leadership, other allied health care professionals, and Pharmaceutical Representatives.
Maintains and updates mailing lists with Medical Director and administrative leadership for all Tumor Board activities. Maintains statistical database tracking for tumor site, satellite locations, physician /nurse attendance reporting, Tumor Registry, CME/CU requirements and Case Presentation Summary outcome information. Prepares CME/CU accreditation paperwork, submits applications, and maintains CME/CU records as appropriate.
Responsible for setting up the equipment for readiness and operating the equipment during the Tumor Boards (ie: medical grade LCD, videoconferencing equipment, switchers, splitters, PACS, multiple laptops, light box, wireless touch panels, document camera, microphones, etc.). Executes medical videoconferencing for Tumor Boards at various campuses.
Liaisons with Pharmaceutical Companies to secure exhibitor and grant sponsorship for conference activities.
Performs other duties as assigned or directed to ensure the smooth operation of the department

KNOWLEDGE AND SKILLS REQUIRED:
Interpersonal skills and ability to communicate (both written and verbally) with staff, medical staff, and administration.
Self-motivated and detail-oriented, with good organizational, follow-up, computer, and analytical skills.
Ability to conduct oneself professionally, maintaining confidence and confidentiality, as well as integrity and objectivity.
Microsoft Office Suite skills.
KNOWLEDGE AND SKILLS PREFERRED:
Equipment skills, such as, medical grade LCD, switchers, splitters, multiple laptops, light box, wireless touch panels, document camera, microphones, etc.
Knowledge of Hospital Systems, such as, PACS, IEXTEND, MIRC, Outlook, SunPort, etc.
Knowledge of Medical Terminology.
EDUCATION AND EXPERIENCE REQUIRED:
One to two years medical terminology experience in a hospital setting.
EDUCATION AND EXPERIENCE PREFERRED:
Two to five years hospital experience in Oncology or Tumor Boards.
Two to five years supervisory experience.
One to two years Continuing Medical Education (CME) Tumor Board experience.
One to two years videoconferencing experience.
